DIRECTOR, EXPOSITION & CORPORATE RELATIONS
American College of Rheumatology

The Director, Exposition & Corporate Relations, is primarily responsible for the management of the American College of Rheumatology's Annual Scientific Meeting exposition hall, which comprises approximately 60,000 square feet of exhibit space and generates approximately $1.5 million in income. Responsibilities include development of marketing plans, producing sales results, negotiating contracts, and providing customer service-related functions.

QUALIFICATIONS:

  • Bachelor’s degree or equivalent combination of association experience and education
  • Minimum of four years of direct experience in convention/exhibition management
  • Experience in contract negotiation
  • Experience in preparing and overseeing budgets
  • Advanced knowledge of Windows Operating Systems, Microsoft Applications, databases, internet-based research, graphics, and ExpoCad HTML/webpage creation
  • Ability to direct and supervise staff and contracted vendors
  • Detail-oriented with excellent oral and written communication and proof-reading skills
  • Excellent interpersonal skills with the ability to interact with volunteers and staff in a professional, diplomatic manner
  • Ability to design and utilize diverse communications methods and tools to effectively target messages to stakeholders and clearly convey concepts
  • Certified exhibition manager (IAEM), Certified Meeting Planner (PCMA), or equivalent certification desired
  • Special consideration is given to candidates with an understanding of ACCME guidelines, AMA standards, PhRMA guidelines, and experience in a health-related organization

DUTIES & RESPONSIBILITIES:

  • Develop and implement marketing plan, including specific retention strategies, mechanisms to identify new markets, changes in industry standards and trends, development of qualified prospects, and innovative concepts
  • Solicit new and manage existing exhibit sales
  • Prepare annual budget, including projected exhibit sales; reconcile monthly financial reports to total deposits; supervise/coordinate with accounting department the generation of exhibitor invoices and accounts receivable management; process payments/cancellations
  • Develop and manage exhibit sales, which includes database and mailing list maintenance; processing exhibit applications; allocation and management of booth assignments in compliance with ACR priority-point system
  • Develop and manage all exhibitor communications, including exhibitor prospectus, mailings, signage, advertisements, invitations, letters of intent, confirmation and booth assignment, invoice/s, service kit materials, and exhibitor bulletins
  • Maintain ACR guidelines/policies as they related to the exhibit hall to ensure compliance with industry, facility, and state standards
  • In conjunction with the ACR-designated general contractor, develop and maintain exhibit floor plan in compliance with city, state, and industry standards
  • Maintain and manage floor plan on ExpoCad
  • Prepare new exhibitor summary and supporting documentation for committee review and approval
  • Manage all exhibitor inquiries and assist with corporate fundraising inquiries
  • Review all exhibit applications to ensure booth construction/design complies with industry, facility, state, and ACR standards; ensure appropriate permits are obtained if applicable
  • Manage all exhibit hall activities, including installation and dismantling of exhibits and exhibitor giveaways to ensure compliance with industry, facility, city/state, and ACR policies
  • Manage exhibitor-appointed and ACR-appointed contractors
  • Develop and implement procedures to survey and evaluate exhibitor satisfaction and provide written analysis of exhibitor evaluations, including solutions to any identified issues for distribution to ACR committees
  • Implement and manage exhibitor registration procedure
  • Develop and maintain sales/variance reports and prepare written report, including sales history, for distribution to ACR committees
  • Some travel required
